Job Description
o Ensure the office space, meeting rooms, and common areas are clean, organized, and welcoming to staff and visitors at all times.
o Maintain the office layout and organization, including replenishing supplies and arranging furniture as needed.
Oversee maintenance needs and coordinate with relevant personnel to handle repairs or adjustments.
Administrative Assistance
o Provide support to the Admin Officer in various tasks, such as assist with fleet management, arranging meeting schedules and organizing office events.
o Support general office administrative tasks, including expense tracking, organizing office files, and responding to inquiries.
Inventory and Supplies Management
o Monitor office supplies, including stationery, kitchen supplies, and cleaning materials; place orders as required to maintain stock levels.
o Coordinate with vendors to ensure timely and accurate delivery of supplies, handle invoices, and maintain records of purchases and deliveries.
Clerical and Document Support
o Assist with the preparation of office documents, filing, and organizing physical and digital records.
o Help with photocopying, scanning, and data entry as needed to support administrative activities.
Visitor and Vendor Coordination
o Greet visitors, vendors, and clients professionally, ensuring they are directed to the appropriate personnel and relevant departments of visitor arrivals promptly.
Running Errands
o Run necessary office errands, including collecting and delivering documents, handling bank deposits, and other tasks as required to support efficient office operations.
Health, Safety, and Cleanliness Standards
o Ensure compliance with office health and safety policies, performing periodic checks to maintain a safe environment for staff and visitors.
