Job Description

Job Title: Administrative Officer

Job Overview:
We are seeking a detail-oriented and organized Administrative Officer to join our team. The ideal candidate will provide essential administrative support to ensure the smooth operation of the office. This role requires strong organizational, communication, and multitasking skills to manage office procedures, coordinate between departments, and assist with day-to-day activities. The Administrative Officer will also handle various administrative tasks, including scheduling, documentation, and managing office supplies.

Key Responsibilities:
Provide general administrative support, including answering phones, scheduling meetings, and managing calendars for department heads or executives.
Draft, review, and proofread correspondence, reports, and other documents to ensure accuracy and professionalism.
Organize and maintain office files, both electronic and physical, ensuring easy retrieval and confidentiality.
Assist in preparing presentations, reports, and meeting materials.
Coordinate office supplies, manage inventory, and ensure the office is well-equipped and organized.
Handle basic financial administration tasks such as processing invoices, expense reports, and budget tracking.
Manage office scheduling, including booking conference rooms and arranging travel accommodations as needed.
Serve as a liaison between departments, employees, clients, and external stakeholders, ensuring effective communication and resolution of issues.
Oversee the onboarding process for new employees, ensuring they are provided with necessary tools and training materials.
Monitor and manage office equipment and ensure that any maintenance or repairs are promptly addressed.
Assist in organizing company events, meetings, and conferences, including coordinating logistics and communication.
Ensure compliance with office policies and procedures, maintaining a professional and efficient work environment.

Skills and Qualifications:
Bachelor’s degree in Business Administration, Management, or a related field (preferred).
Proven experience in an administrative or office management role.
Proficiency with office software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
Strong organizational skills with the ability to prioritize tasks effectively.
Excellent verbal and written communication skills.
Attention to detail and accuracy in all administrative tasks.
Ability to handle confidential information with discretion.
Strong problem-solving skills and a proactive approach to handling challenges.
Ability to work independently and as part of a team in a fast-paced environment.
Strong time management skills and ability to multitask effectively.

Preferred Qualifications:
Previous experience in office management or executive support roles.
Familiarity with office management software and systems (Microsoft Office Suite e.g excel)
Knowledge of basic accounting principles or experience with financial record-keeping.
Certification in office management or administrative support is a plus.
