Job Description
Key Responsibilities:
Executive & Administrative Support:
Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
Draft, review, and manage correspondence, reports, and presentations.
Handle confidential information with discretion and professionalism.
Organize and maintain files, records, and key operational documents.
Take meeting minutes, track action items, and follow up on deliverables.
Operations Coordination:
Assist in operational processes, including team coordination and workflow optimization.
Support procurement, vendor management, and office logistics.
Monitor project timelines and coordinate cross-functional activities.
Assist in budget tracking, expense reporting, and financial documentation.
Communication & Stakeholder Engagement:
Act as the primary point of contact between the executive team and internal/external stakeholders.
Prepare internal communications, reports, and summaries for leadership.
Coordinate partnerships, collaborations, and special projects as assigned.
Organize logistics for company meetings, events, and offsite activities.
Plan and coordinate travel itineraries, accommodations, and transport arrangements.
Proven experience as a Personal Assistant, Executive Assistant, or in an operations-focused role.
Strong organizational and multitasking skills with attention to detail.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
Ability to handle pressure, prioritize tasks, and work independently.
Experience in managing confidential and sensitive information.
Strong problem-solving skills and a proactive mindset.
Preferred Experience:
Previous experience in operations, project management, or business administration.
Familiarity with mental health, tech, or social impact industries is a plus.
