Job Description

Title: Phone Operator
Department: Customer Service / Front Desk / Administration
Reports To: Office Manager or Supervisor

Job Summary:
The Phone Operator is responsible for managing incoming and outgoing calls in a professional, courteous, and timely manner. This role serves as the first point of contact for callers, providing information, directing calls to appropriate departments, and taking messages when necessary. The ideal candidate should have excellent communication skills, a pleasant demeanor, and the ability to handle multiple tasks efficiently.

Key Responsibilities:

Answer and route incoming phone calls promptly and professionally.

Greet callers, identify their needs, and direct them to the appropriate department or individual.

Take accurate messages and deliver them to the intended recipients in a timely manner.

Provide general information to callers regarding services, hours of operation, or office locations.

Handle outgoing calls on behalf of staff or management as requested.

Maintain a calm and friendly tone, even during high call volumes or challenging situations.

Update and maintain a directory of extensions, personnel, and frequently called numbers.

Monitor voicemail messages and ensure proper follow-up.

Report technical issues with the phone system to the appropriate department.

Perform basic administrative tasks, such as data entry, filing, or assisting with front desk duties as needed.

Qualifications:

High school diploma or equivalent required.

Prior experience in a customer service or phone operator role preferred.

Excellent verbal communication and active listening skills.

Professional phone etiquette and a clear, friendly speaking voice.

Basic computer skills, including familiarity with phone systems and email.

Ability to multitask and remain organized in a fast-paced environment.

Strong interpersonal skills and a customer-focused attitude.

Work Environment:
This role is typically performed in an office or call center environment, with extended periods of sitting and using a headset or telephone system.
