Job Description

Job Title: Personal Assistant to Group Managing Director

Reports to: Group Managing Director

Job Summary:

We are seeking a highly skilled, experienced, and discreet Personal Assistant to provide administrative support to our Group Managing Director. The successful candidate will be responsible for managing the Group Managing Director's schedule, correspondence, and travel arrangements, as well as providing general administrative support.

Key Responsibilities:

1. Schedule Management:
- Manage the Group Managing Director's schedule, ensuring efficient use of time and minimizing conflicts.
- Coordinate meetings, appointments, and events, including arranging travel and accommodation.
2. Correspondence and Communication:
- Manage the Group Managing Director's correspondence, including emails, letters, and phone calls.
- Prepare and edit documents, reports, and presentations as required.
- Develop and maintain relationships with key stakeholders, including employees, customers, and suppliers.
3. Travel Arrangements:
- Arrange travel and accommodation for the Group Managing Director, including booking flights, hotels, and rental cars.
- Prepare and manage travel itineraries, including arranging meetings and appointments.
4. Administrative Support:
- Provide general administrative support, including filing, photocopying, and data entry.
- Maintain accurate and up-to-date records, including contact lists, calendars, and documents.
5. Confidentiality and Discretion:
- Maintain confidentiality and discretion when handling sensitive or confidential information.
- Ensure that all correspondence and communication is handled in a professional and timely manner.
6. Special Projects:
- Assist with special projects, including research, data analysis, and report writing.
- Provide support for events, including conferences, meetings, and receptions.

Requirements:

1. Education and Experience:
- Bachelor's degree in Business Administration, Communications, or related field.
- Minimum 3-5 years of experience as a Personal Assistant or Executive Secretary.
2. Technical Skills:
- Proficient in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- Experience with calendar management, email management, and travel arrangement software.
3. Soft Skills:
- Excellent communication, organizational, and time management skills.
- Ability to work in a fast-paced environment, prioritizing tasks and managing multiple projects.
- Discreet and confidential, with a high level of professionalism.
