Job Description
Key Responsibilities
Administrative Support
Maintain schedules, calendars, and appointment bookings for executives or managers
Organize and prepare documents, reports, presentations, and spreadsheets
Manage email correspondence, phone calls, and office messaging
Prepare meeting agendas, take detailed minutes, and follow up on action points
Office Management
Maintain office supplies and coordinate with vendors
Ensure smooth daily operations of the office environment
Organize filing systems (physical and digital) for easy document retrieval
Coordinate logistics for travel, accommodation, and events
Record-Keeping & Compliance
Manage company records, including employee files, vendor contracts, and operational documents
Assist with compliance documentation and routine filings
Keep company data organized and up to date using digital tools (e.g., Google Workspace, Microsoft 365)
Communication & Coordination
Interface with clients, partners, vendors, and regulatory bodies in a professional manner
Relay information between departments and ensure follow-up
Schedule and confirm internal and external meetings
Draft formal letters, memos, and responses as directed
Support to Tech Teams
Track and document timelines, delivery dates, and action items
Support onboarding logistics for new hires (documents, equipment, orientation)
Update dashboards or project trackers based on input from the engineering and product teams
