Job Description

Job Summary:
We are seeking a professional, organized, and friendly Receptionist to be the first point of contact for our company. The ideal candidate will ensure smooth communication between visitors and employees and provide administrative support to the office. The Receptionist will play a key role in ensuring a welcoming and efficient environment.

Key Responsibilities:
Visitor Management & Reception Excellence – Warmly welcome and register guests, clients, and vendors, ensuring they are informed about relevant office protocols. Maintain a polished and professional demeanor at all times, reflecting the company’s commitment to excellence.

Telephone & Communication Management – Handle incoming calls with professionalism, direct inquiries to the appropriate departments, and manage voicemail messages. Ensure timely follow-ups and facilitate clear communication between stakeholders.

Meeting & Scheduling Coordination – Assist in scheduling meetings, managing conference room bookings, and ensuring that appointments are well-organized and promptly communicated to relevant parties.

Office Supplies & Inventory Oversight – Monitor and maintain office supplies to ensure availability. Process orders as needed and manage inventory levels efficiently to support seamless office operations.

Administrative Support & Document Handling – Conduct data entry, filing, photocopying, and document scanning. Prepare reports, maintain records, and assist in general clerical tasks to support operational efficiency.

Facility Management & Office Appearance – Ensure that the reception area and office environment remain clean, organized, and presentable. Report any maintenance needs or operational issues to the designated department for resolution.

Security & Safety Compliance – Enforce check-in procedures for visitors and contractors to maintain office security. Ensure adherence to workplace safety protocols and confidentiality guidelines.

Departmental Coordination & Cross-functional Support – Collaborate with HR, Operations, and Sales teams to provide administrative assistance as required. Facilitate smooth internal communication and contribute to organizational effectiveness.

This role requires a highly adaptable and detail-oriented individual who can efficiently manage front-office operations while contributing to a positive company culture.

Qualifications/Requirement:
• Education: B.Sc. Degree
• Minimum of 1 year experience as a receptionist or front desk staff
• Proximity to Ikeja, Lagos
• Experience: Minimum of one-year previous experience in a receptionist or customer service role is preferred.

• Skills:
o Excellent verbal and written communication skills.
o Strong organizational skills with the ability to multitask and prioritize.
o Professional demeanor and appearance.
o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office equipment (e.g., fax, copier).
o Basic knowledge of office management procedures and organizational skills.
o Knowledge of scheduling software and call management systems is a plus.
